Transition to royalty model for AOTA Fieldwork Performance Evaluation (FWPE)
AOTA is excited to share an important update regarding the AOTA Fieldwork Performance Evaluation (FWPE). In response to feedback from programs of all sizes, we are transitioning from the current subscription model to a royalty-based model. This change is intended to offer greater flexibility and cost-effectiveness while enhancing the overall user experience.
Proposed Model and Offerings
Royalty-Based Licensing: Programs will pay an annual royalty fee to use the AOTA-copyrighted FWPE tool. This ensures compliance and continued access while allowing programs to determine the best deployment strategy for their needs.
Deployment Options: Based on a recent survey the majority of programs will deploy the tool through the fieldwork management system (e.g. EXXAT, CORE) or alternative vendors (e.g. Formstack) currently used by your school. For the small number of programs not utilizing a fieldwork management systems or alternative vendors, AOTA will provide a fillable PDF form as an alternative.
Pricing:
OT Programs: $400
OTA Programs: $275
Timeline:
Programs have the option to transition in the May-August 2025 timeline. The contract with Formstack will end in August 2025.
Royalty fees will be invoiced in July 2025 for the August 2025-August 2026 timeframe.
Benefits of the Proposed Model:
Increased Autonomy: Programs will have the flexibility to decide how to deploy the FWPE based on their unique needs. While most programs may continue using existing online FW management systems, smaller programs may find the fillable PDF or alternative processes more cost-effective.
Streamlined Operations: By transitioning to a royalty model, AOTA staff resources currently allocated to managing customer service issues can be redirected to other priority initiatives, enhancing member and program support.
Cost Efficiency for Smaller Programs: The fillable PDF option is designed to address the specific needs of smaller programs, offering a lower-cost alternative without compromising access to this essential tool.
